Inspiration & Research
Video calls are not ideal for long, in-depth, discussions (news flash).

During a meeting, hosts multitask heavily - start discussions, join conversations, remind everyone of the time, take notes on the side, and interject off tangent conversations. It’s hard to sustain people’s attention on video calls, and even harder to track progress while facilitating discussions. After a quick survey of 13 people, I found that the typical things people do to prepare a meeting are:

Product Opportunity & Strategy
Solving these pain points can address use cases for both professional and educational settings, which is the 2nd largest customer group of Zoom.

Experience Storyboards
Capturing the core experience

Outlining the experience from beginning to end of a meeting allow me to understand what functionalities to add. For example, a timer, check boxes, and permission controls.

User Feedback
6/7 interviewees found this feature extremely valuable.

5/5 Users found this feature extremely valuable. “1000% will use it tomorrow” 4/5 Users found the time remaining bar more valuable than a general progress percentage bar becuase the progress bar can be quite subjective and hard to quantify. 4/5 Users found iconography of notetaking functionalities confusing. 3/5 Users suggest the ability to take notes under individual agenda topic

Final Design
Meetings should be smooth.
A list makes that possible.

Two Year Retrospective: Could this be in Zoom's core experience or stay as a plug-in?

Two Year Retrospective:
A core feature or marketplace plugin?

This project was done during the pandemic when everything was still video-call-centric. Now two years later, there are still many debates and studies about whether in-person or online setting is better, which to be honest, I still don't have a strong opinion for.

A feature like this could snuggly fit into one of Zoom's Workplace plan for education, small businesses, or even enterprise customers. People want to go into meetings with a plan, to stay on topic, and come out productive - this stays true whether it's a team of 5 or 500.

If this remains a plugin, the feature would be much less discoverable and involve another paywall that adds friction for customers. I would look into data about customer engagement in Zoom's app marketplace and the popularity of agenda plugins like this (there's a couple) for more reference.

My inspiration about this feature still stands to this day! Hope Zoom could make this real someday :)
